A traveler should be able to recognize the agency they booked with when they open a document or message. AerQio supports an agency-branded experience across customer-facing PDFs and booking communications, so the agency identity can carry through the practical moments of a trip. This is a defined boundary, not a rebrand of the software: customer materials can represent the agency, while AerQio remains AerQio on its own platform, account and support surfaces.

Put the agency identity where customers see it

Customer-facing documents such as invoices, receipts, booking confirmations and contracts are part of the service your agency delivers. Applying the configured agency name, logo and brand color makes their source clear and keeps the presentation consistent with other customer touchpoints. Review the agency profile and choose assets that remain readable at document size. Branding should clarify who is serving the traveler, not distract from the reservation information they need.

Keep PDFs and booking messages aligned

The same identity can extend from a PDF to booking emails and customer voucher notes. That continuity matters when an email leads to an attached invoice or confirmation: the sender’s message and the document should make sense together. Check the rendered PDF and the email content as separate customer experiences, including contact details and any notes added for the booking. A logo alone does not make a message useful; clear trip details, accurate amounts and a relevant note still do the essential work.

Treat voucher notes as useful customer context

A voucher note is a practical place to add concise information relevant to the customer’s booking. Keep it specific, easy to scan and suitable for the traveler. Avoid using this space for internal instructions, confidential supplier details or information that belongs in an agent’s record. Before sending, check that the note still applies to this passenger and itinerary. A short, reviewed message is more helpful than generic text copied into every booking.

Know what remains an AerQio communication

White-labeling applies to customer-facing agency materials; it does not make every screen, email or document use the agency identity. AerQio’s own login, software account and platform or support communications remain AerQio communications. Keeping that distinction visible helps staff understand which messages concern their software account and which are intended for their travelers. It also avoids confusing an agency’s brand settings with the identity of the service provider operating the platform.

Email delivery depends on the available configuration

An agency may use its own sending setup when it has been configured for the account; otherwise, messages can use AerQio’s shared sending service. Do not assume that setting a logo or agency name changes the sender address, or that a custom SMTP connection works without configuration and validation. Before relying on a new email workflow, verify its actual sender and delivery settings with your administrator. Customers should see accurate contact details, and staff should know which mailbox receives replies.

A simple quality check before sharing

Open a sample customer document and email and review them as a traveler would. Confirm that the agency name and logo are correct, trip and passenger details belong to the booking, the amount is clear, and the contact route makes sense. Check notes for relevance and remove internal language. Then confirm that staff can recognize AerQio’s platform and account messages. Reviewing both sides makes the branding boundary practical rather than merely visual.
