These Terms and Conditions govern your access to and use of the AerQio platform. By creating an account or using our services you agree to be bound by these terms. Please read them carefully.

Subject of the agreement

These Terms and Conditions (the "Agreement") govern access to and use of AerQio, a cloud-based travel agency management platform provided as a Software-as-a-Service ("SaaS") by AerQio ("we", "us" or "AerQio").

By registering an account, activating a subscription, or otherwise using any part of the platform, you (the "Customer") agree to be bound by this Agreement on behalf of yourself and the agency or organisation you represent. If you do not agree, you must not use the platform.

Registration and account

To access AerQio you must create an account by providing accurate, complete and up-to-date information. You agree to keep your account information current throughout the duration of your subscription.

You are solely responsible for safeguarding your login credentials and for all activity that occurs under your account. You must notify us immediately at support@aerqio.com if you become aware of any unauthorised use or security breach.

Each subscription is for a single agency. You may add multiple users (agents, managers and administrators) within your agency account up to the limits of your plan. Sharing account credentials with persons outside your agency is not permitted.

Subscription plans and billing

AerQio offers subscription plans billed monthly. The applicable price is that displayed on our Pricing page at the time of purchase. All prices are shown exclusive of VAT or other applicable taxes, which will be added where required by law.

Subscriptions automatically renew each month unless cancelled before the renewal date. Billing is processed on the same calendar date each month. If payment fails, we will notify you and allow a grace period of seven (7) days before access is suspended. Access is restored automatically once a valid payment is received.

You may cancel your subscription at any time from within the platform or by emailing us. Upon cancellation, you retain access until the end of your current paid billing period; no refund is issued for the unused portion of that period.

AerQio reserves the right to modify subscription prices with 30 days' advance notice. Price changes take effect at the next renewal date following the notice period.

Trial period

New accounts may be eligible for a free trial period as specified at the time of registration. During the trial you have access to the features of your selected plan at no charge.

No payment is taken during the trial. If you wish to continue using AerQio after the trial expires, you must activate a paid subscription. If no payment method is provided before the trial ends, your access will be suspended but your data retained for 30 days.

Acceptable use

You agree to use AerQio only for lawful purposes and in accordance with this Agreement. The following are expressly prohibited:

  • Using the platform for any illegal activity or in violation of applicable laws and regulations.
  • Entering false, fraudulent or misleading data, including fictitious passenger or client records.
  • Attempting to circumvent, probe or breach the security of the platform or its underlying infrastructure.
  • Reverse engineering, decompiling, disassembling or otherwise attempting to derive the source code of the software.
  • Scraping, crawling or extracting data from the platform by automated means without our express written consent.
  • Reselling, sublicensing or otherwise providing access to the platform to third parties without prior written authorisation.
  • Uploading or transmitting malicious code, viruses or any other harmful software.
  • Impersonating another user, company or person.

Violation of these restrictions may result in immediate account suspension without refund and, where applicable, legal action.

Intellectual property

AerQio and all of its components — including but not limited to source code, design, user interface, branding, trade marks, documentation and proprietary algorithms — are the exclusive property of AerQio and are protected by applicable intellectual property laws.

Subject to your compliance with this Agreement, we grant you a limited, non-exclusive, non-transferable, revocable licence to access and use the platform solely for your agency's internal business purposes during the subscription term.

Data you enter into the platform (client records, bookings, invoices, uploaded documents) remains your property. We claim no ownership over your business data.

User data and confidentiality

All data entered into AerQio by your agency is treated as confidential. We process it solely for the purpose of delivering the contracted service and in accordance with our Privacy Policy.

We implement appropriate technical and organisational measures to protect your data. Your agency's data is isolated from all other AerQio customers — we do not share or cross-contaminate tenant data under any circumstances.

You may export all of your data from within the platform at any time. Upon account termination or cancellation, your data is permanently deleted within 30 days unless a longer retention period is required by applicable law.

Service availability and SLA

AerQio targets a monthly uptime of 99.5%, measured across all core platform services. Scheduled maintenance windows will be communicated in advance where possible and are excluded from uptime calculations.

While we strive to meet this target, we do not guarantee uninterrupted or error-free operation of the platform. We shall not be liable for damages arising from service interruptions caused by circumstances outside our reasonable control, including but not limited to internet infrastructure failures, third-party GDS outages, or force majeure events.

We maintain automated backups and provide status updates at support@aerqio.com in the event of a significant incident.

Third-party integrations

AerQio integrates with third-party services including but not limited to Amadeus GDS, Redsys, SMTP providers, and Telegram. Your use of these integrations is also subject to the respective third-party terms of service.

We are not responsible for the availability, accuracy, pricing or policies of third-party services. Disruptions in third-party services (e.g., GDS outages) do not constitute a breach of this Agreement by AerQio.

Limitation of liability

To the fullest extent permitted by law, AerQio shall not be liable to you for any indirect, incidental, special, consequential or punitive damages, including but not limited to loss of profits, revenue, data, goodwill or business opportunities.

AerQio's total aggregate liability to you for any claim arising under or in connection with this Agreement shall not exceed the total subscription fees paid by you in the three (3) calendar months immediately preceding the event giving rise to the claim.

Nothing in this Agreement limits or excludes liability for fraud, death or personal injury caused by negligence, or any other liability that cannot be excluded by law.

Termination

Either party may terminate this Agreement at any time. You may cancel your subscription through the platform settings or by contacting us. We may terminate or suspend your account immediately if you materially breach this Agreement and fail to remedy the breach within 14 days of written notice.

Upon termination, your right to access the platform ceases immediately (or at end of the paid period for customer-initiated cancellations). Sections 5, 6, 7, 10 and 13 survive termination.

Amendments

We reserve the right to amend these Terms and Conditions at any time. We will provide at least 30 days' advance notice of material changes via email to the registered account address. Your continued use of the platform after the effective date of the revised terms constitutes your acceptance of the changes.

If you do not agree with amended terms, you may cancel your subscription before the changes take effect.

Governing law and jurisdiction

This Agreement is governed by and construed in accordance with applicable law. For any dispute arising under this Agreement, the parties agree to submit to the exclusive jurisdiction of the competent courts, waiving any other jurisdiction that may apply.
